Whether we’re sourcing large batches from trusted suppliers or accepting individual trade-ins, this first step is essential to building a reliable selection for our customers. Let’s take a closer look at how each computer enters our inventory and the careful process that follows.
Step 1: Getting Inventory
Our inventory comes from two main sources. Sometimes, we purchase batches of rugged computers that arrive on pallets or in large boxes. Other times, customers upgrade through our trade-in program, sending us their used rugged computers for refurbishment.
Every computer undergoes a thorough process: we test its functionality, securely wipe its hard drive, and install the latest operating system it supports. After a deep cleaning, we replace any missing parts—especially port covers, which are the most commonly needed replacements.
Any computers that don’t make the grade are broken down for parts, which helps us maintain a healthy inventory of OEM replacement components.
Step 2: Checking In and Grading
Once we’ve assessed the computers, we sort them into three categories: units for parts, Grade B (scratch & dent), and Grade A (the best of the best).
For our website, we select the least cosmetically perfect Grade A unit—our so-called 'ugly duckling'—give it a final clean, take detailed photos, and list it online. That way, what you see is exactly what you get.
The Order Fulfillment Process
With our inventory tested, graded, and listed, the next stage starts the moment you decide to place an order. That’s when our team shifts from preparation mode to action, working to customize and ready your chosen computer for its new home. Here’s how your order moves from the website to your workspace.
Step 3: Order Processing
Once you place your order, our team springs into action. Orders received during business hours (Monday–Friday, 9 a.m.–5 p.m.) are processed immediately and added to our technicians’ queue. Orders placed after hours or on weekends are handled the next business day promptly.
Step 4: Preparing Your Computer
With your order in hand, we locate the exact computer in our inventory and prepare it for shipment.
Even though the computer has already passed our initial checks, we now focus on any custom upgrades you’ve requested and perform a final round of quality assurance. Once the upgrades are installed, we test the used batteries for 1 hour under moderate use to confirm they meet our standards.
This is when we install any upgrades you’ve selected—more RAM, a faster SSD, mobile data cards, and more.
We also reload the latest version of your chosen operating system—even if we did so earlier—just in case the computer has been sitting on our shelf and missed important updates. This guarantees you get the newest features and all the right drivers for your hardware.
Plus, if you get an SSD upgrade, we would have to reload the operating system on it anyway.
Step 5: Final Cleaning and Packing Prep
Once all upgrades are complete, your computer undergoes a meticulous deep cleaning to ensure it looks its best. Because these units are refurbished, even our Grade A models may show slight signs of use, such as minor scratches. We clean every computer to the best of our ability, but it's important to note that cosmetic blemishes cannot always be removed entirely. Step 6: Packing the Computer
We carefully pack your computer in a sturdy box with several layers of bubble wrap wrapped securely around the laptop. Extra bubble wrap is placed along the box's walls for added protection, and we also use packing peanuts to cushion the computer on all sides. For orders with 1 or 2 computers, we use smaller boxes to securely hold the computers and prevent shifting during transit. This careful packaging ensures your computer stays safe and snug throughout its journey to you.
Step 7: Labeling and Documentation
Once the box is packed and the computer is secured, we put a copy of your invoice, a repair and warranty flyer, and a mobile data information card in the box with your computer. The invoice serves as a packing list. The flyers include information about the unit's warranty, extending that warranty, our full-service repair department, and our mobile data plans, if you are interested.
Step 8: Shipping Out
FedEx picks up shipments every weekday at 3 p.m. We have a dedicated area by our back door where boxes are stacked and ready for the driver to collect.
As soon as your package is scanned by FedEx, you’ll receive a tracking number so you can follow your computer’s journey to your doorstep.
